Changing Ownership of your Google Data Studio Visualization

Imagine youre working as an intern in a company, and you use your personal account for creating dashboards on Data Studio. One day, your boss asks you to transfer everything youve made to the companys account, i.e., make their account as the owner of dashboards so that when you leave, your work doesnt.

Glossary
1. Report: Your visualization.
2. Data Source: The data embedded in your visualization. With this, you can change the schema of your report by adding calculated fields, filters, etc.
3. Dataset: The data you want to visualize.
4. Connector: Platform you use to fetch your data. Here, we use Google sheets.

In Data Studio, when the ownership of the report is changed the data sources changes too, so the next user can change the schema of the embedded data. Even after changing ownership of the dataset (your google sheet) the connection between the report and dataset breaks. Hence, this article would focus on how to change the ownership of your dashboards, which will also have the potential to reflect the changes made in the dataset by the next owner.

Following are the steps that need to be followed by you (user 1):

Create Dataset. If you have your data as an excel sheet convert it into a google sheet.

Create Report.

You can see theres a calculated field called Total Clients and a filter Age< 30 in the right pane. I have added these to make sure everythings intact even after changing ownership.

Click on the Share button in the upper right corner and the Add people section type in the email-id of the next owner (user 2).

Now, change the owner of your dashboard (i think my eyes are sweating). Click on Manage access and make User 2 the owner.

After this, you need to follow the same steps to change the ownership of the dataset (here, Viz Dataset) as well.

Now, if youre the boss or the next owner of the dashboard, you need to follow these steps:

User 2 would receive an e-mail regarding the transfer of ownership by User 1. Open report via link in that mail.

Click on Edit mode, and after selecting all graphs click on the pencil icon of Data source that says Edit data source.

Following that, select Edit connection and select the target sheet (Viz Dataset) from the sheets owned by you (just to be sure). Click Reconnect. If you can still see the calculated fields and the filters used, you did it! Now, the report and dataset are connected, which could be used to visualize more records.
